Position Summary:
The Accreditation Coordinator plays a key role in managing and coordinating the accreditation process in compliance with Accreditation Canada standards. The role involves close collaboration with staff across the organization and the Client Engagement Coordinator at Accreditation Canada.
The Accreditation Coordinator ensures that all accreditation activities are conducted in a timely manner, meets all necessary documentation and compliance standards, and promotes the value of accreditation internally and externally. This position is essential to driving the organization’s commitment to quality and continuous improvement.
Responsibilities:
- Oversee and manage the accreditation process for the organization, ensuring compliance with Accreditation Canada standards.
- Act as the primary liaison between the organization and Accreditation Canada, including the Client Engagement Coordinator and Regional Accreditation Managers.
- Provide support and guidance to staff and community members regarding the accreditation process and requirements.
- Promote and build awareness of the importance of accreditation both within the organization and the community.
- Organize, facilitate, and participate in training, workshops, and orientations related to accreditation standards.
- Support quality improvement efforts by assisting with self-assessments, data collection, and the ongoing evaluation of organizational practices.
- Provide leadership to the STC Wellness accreditation team, including convening meetings, identifying team leaders, and assigning tasks.
- Coordinate logistics for on-site surveys and debriefing sessions with Accreditation Canada.
- Participate in regional accreditation networking meetings, share best practices, and stay informed on current accreditation trends and updates.
- Review existing policies and procedures to maintain compliance with accreditation standards and support the development of internal policies and practices that are aligned with accreditation standards.
- Write and prepare necessary documentation to support the accreditation process, ensuring clarity and completeness.
- Assist co-workers in completing online questionnaires and data collection.
- Use the online Organization Portal to coordinate responsibilities, track progress, and ensure all documentation is up to date.
- Identify training needs and provide educational workshops for staff and community members related to Accreditation standards.
- Facilitate Mock Surveys and draft reports for community staff and the STC Wellness Director to ensure readiness for the accreditation site visits.
- Serve as chair of the Accreditation Team, organizing and leading monthly or bi-weekly meetings.
- Serve as a member of the STC Policy Working Group and the STC Wellness Policy and Forms Working Group.
- Lead various quality improvement initiatives and promote change management on an organization wide basis to meet quality system requirements.
- Perform other related duties as defined and assigned by the reporting Manager or designate on an as and when required basis.
Education and Experience:
- A degree or diploma in health care, business administration, or a related field or other equivalent combination of education and experience.
- Minimum of 3 years of experience working in a healthcare, social services, or accreditation-related role.
- Prior experience with Accreditation Canada or other accreditation programs is preferred.
- Experience in project management and coordinating cross-functional teams is an asset.
- Demonstrated experience leading staff, providing mentorship, coaching with the ability to motivate others in a collaborative team environment.
- Demonstrated proficiency in Microsoft Excel, Word, Outlook, and PowerPoint with an ability to easily learn new software applications.
Knowledge, Skills and/or Abilities:
- Strong understanding of accreditation processes, particularly in relation to Accreditation Canada standards.
- Excellent verbal and written communication skills, including the ability to establish and maintain effective working relationships, seek solutions and demonstrate flexibility
- Ability to work independently and collaboratively with a diverse group of stakeholders.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Proficient in using online portals and software for data entry, tracking, and coordination.
- The ability to guide and manage change, consistent with the vision and values of the organization.
- The ability to develop and maintain organizational performance standards.
- Ability to facilitate training, workshops, and orientations for staff and community members.
- Strong problem-solving and decision-making skills with a focus on continuous improvement.
- Demonstrated ability to build relationships and networks with external stakeholders, including Accreditation Coordinators from other organizations across Canada.
- A commitment to fostering a culture of quality and excellence within the organization.
